If your small business depends largely on your Mac for day-to-day operations, you are aware of how frustrating it can be when your computer system malfunctions. A peripheral device, such as a printer, may suddenly stop operating after functioning for hours.

You may need to troubleshoot a number of problems before you find the source of the issue because there are so many variables affecting both your printer and your Mac.

Cables and Connections

Although it would seem like the most logical place to start, if your Mac has a lot of connections or accessories hooked in, the printer cord may have unplugged without your knowledge. Disconnect each cable that connects your printer to the computer, then reattach them all while making sure the connections are secure to troubleshoot your connections.

If your printer still doesn’t function after reattaching the cords, try a different USB port on your Mac model. USB cables can occasionally degrade over time. Open the System Profiler by selecting it from the Apple menu’s “About this Mac” section while the cables are attached. Select “Printers” from the list of options after selecting “More Info.”

Try using a different USB cable if your printer is not mentioned. If the System Profiler lists more than one printer, make sure the necessary software is installed before attempting to print to the second printer’s model. Your original printer may not be functional.

Application or Driver Issues

Quit the application and attempt printing from a native Mac OS X software tool, such as TextEdit, if you are trying to print from the same application but are having trouble. If the printer is functional, then there is probably a problem with the Mac OS X printer drivers or software.

Use Software Update to discover and install any updated software that might have an impact on your printer so that all of your Mac’s software is up to date. Obtain a copy of your printer’s driver by visiting the printer manufacturer’s website or downloading it from the Mac OS X downloads page if it is missing.

Install the driver that is compatible with the OS X version you are using by following the on-screen directions. Visit the software developer’s website as well to find out if there is an update, patch, or remedy for the printer, Mac, and software compatibility problems.

Network Issues

AppleTalk-connected Macs may experience their own communication problems with the printer. Your printer cannot connect with your Mac if file sharing is off or web access is not available. From the Apple Menu, choose System Preferences.

Then select the “Network” icon, “Advanced,” and “Apple Talk” buttons. Check to see if AppleTalk is running. Try printing to another printer if it’s selected in the menu. When printing to a wireless printer, briefly connect the printer through USB to your network.

This troubleshooting test is not applicable if you recently updated your system software to Lion, which no longer supports AppleTalk.

Delete Printer and Print Job Queue

Depending on your printer, you can have a number of jobs in the Print Job queue if you’ve been attempting to print for a long but haven’t been successful. For instance, Epson printers use a standalone application called Printer Utility that allows you to clear work queues and monitor ink levels.

Additionally, you can use the “Open Print Queue” function of Mac OS X, which is available in the “Print & Fax” tab of your System Preferences. To delete a file, click the job name in the queue. Select System Preferences once more, then “Print & Fax,” to remove the printer itself.

Enter your administrator login name and password after clicking the unlocked padlock icon at the bottom of the window. To remove a printer from the Printer list, click the – (minus) icon underneath the Printers panel. Re-add your printer by clicking the + (plus) sign-designated “Add Printer” button. Delete the printer and then add it again if the printing issue persists.

Repair Permissions

When permissions or system files are corrupt, repairing your Mac’s permissions can frequently solve problems. Double-click the utility icon in the Applications folder, then launch Disk Utility to fix permissions.

Click on the hard drive in the Disk Utility box and choose “First Aid.” Clicking the “Repair Disk Permissions” button will launch the programme. The software will look for damaged permissions on the hard drive.
